About the role:
I run AnthroHub, a solo B2B email marketing consultancy. I help marketing leaders at SaaS and professional services companies fix deliverability and messaging so their emails actually get read and acted on.
I'm looking for a reliable right hand to take calendar management, client-facing admin, and some recurring marketing tasks off my plate so I can spend my time on strategy and client work.
This is a small, hands-on role. You'll have ownership over how client onboarding and project tracking run day to day, not just executing a checklist.
What you'll be doing:
Calendar & inbox /
- Manage my calendar, schedule client and prospect calls, handle rescheduling
- Light inbox triage and follow-up on my behalf where appropriate
Client onboarding & project management /
- Set up and manage client projects and keep task lists, deadlines, and deliverables current (Basecamp and Slack mainly. Occasionally Asana or Monday)
- Send kickoff materials and intake forms to new clients, track responses
- Help me systematize aspects of the business that need it and proactively flag areas that can be systematized as you notice them (like turning recurring client requests or project steps into checklists, SOPs, etc.)
- Collect briefs, interview transcripts, and meeting recordings and turn them into supporting documents
- Chase approvals and sign-offs as needed so deliverables don't stall waiting on a client response
- Flag anything that looks off-track before it becomes a problem
Content marketing /
- Flag online conversations worth participating in based on my ideal client profile (ICP)
- Content marketing research projects as needed
- Occasional LinkedIn carousel builds
Tools you'll be working in:
Google Workspace, Basecamp, Slack, LinkedIn, Fireflies.ai, occasionally Asana and Monday, and Claude (for research and drafting support). Credentials will be shared securely via 1Password.
What I'm looking for:
- Based in the US
- Prior experience as a VA or EA supporting a solo consultant, agency, or small business. Bonus points if that business was marketing, creative, or professional-services-facing
- Comfortable juggling multiple client relationships and deadlines without things falling through the cracks
- Strong, clear written communication. This business runs on warm yet direct writing, and that same clarity should show up in how you communicate with clients and with me
- Proactive: you follow up before I have to ask
Reasonably tech-comfortable. You don't need to know HubSpot or Basecamp already, but you should be quick to pick up new tools
Nice to have:
- Familiarity with B2B marketing or SaaS terminology
- Basic Canva skills for light content formatting
To apply:
1) Tell me about a time you had to manage a client-facing deadline that was at risk of slipping. What did you do?
2) Include your availability and preferred weekly hour range within the 4–8 hour window.
