We are looking for a reliable, detail-oriented Virtual Assistant to help our team with administrative support, data tracking, and basic outreach. You will get a dedicated company email address for all communication. You will not have access to any sensitive financial or banking systems.

The ideal candidate loves clean spreadsheets, takes pride in accurate work, and can communicate professionally with our clients and field teams.

Core Responsibilities:

- Finding Property Leads: Reviewing existing property lists and comparing them against live real estate listings (like Zillow or Redfin) to check if they are still active and viable, then updating our main tracking sheet with current agent names and contact details.

- Initial Email Outreach: Sending simple introductory emails to potential clients and agents using templates we provide.

- Gig & Schedule Confirmations: Contacting clients and our field teams 24–48 hours before a scheduled job to double-check arrival times and lockbox/site access codes.

- Contractor Paperwork Tracking: Keeping our team files organized by tracking contractor forms, active licenses, and insurance records.

- Spreadsheet Cleaning: Regularly checking our spreadsheets to fix formatting, delete duplicate entries, and keep information accurate.

- General Administrative Support: Assisting with other ad-hoc administrative, sorting, or scheduling tasks as our operational needs evolve.

Requirements:

- Great skills with Google Sheets and/or Microsoft Excel (sorting data, removing duplicates, and clean data entry).

- Excellent written communication skills with a friendly, professional tone.

- Strong organizational skills and great attention to detail.

- Location: Must live in the Eastern Time (ET) or Central Time (CT) zone for daily communication alignment.

Project Type: Hourly / Part-time / Ongoing

We will start small at around 5 hours per week, with the opportunity to expand hours as our operational needs grow and we discover more tasks.
